I had the most interesting conversation with a real estate agent this morning. He had told me that he was looking for a VA and comparing prices. As he hadn’t given me his number, I followed up with an email providing him with my phone number.
About an hour later, I received a call from this agent asking about my prices. We spoke a bit about my rates and packages; however, he quickly told me that he’s already considering using my services. Get ready for his reasoning, “You’re the only one who has picked up the phone!” Why is this?
He went on to say that when he gets the voice mail message it says, “Reliable VA – available 24 hours a day.” The message says they will get back with him quickly, and then he doesn’t receive a follow-up. My guess is that even if they do follow-up at this point, many agents wouldn’t consider them reliable enough to work with.
Hard To Believe
This was well over an hour ago, but I’m still shaking my head. As virtual assistants, we must pick up the phone or call back quickly. I’ve actually heard some say that they don’t pick up their phone right away so that they appear busy. Really?! If you’re too busy to pick up the phone, you will be too busy to care for the project that your prospective client is calling about.
Think about it from their point of view. Clients want to feel that they are important to you. This is where we have to walk the walk and talk the talk. Consider the following tag lines:
Making You Our Top Priority
Our Clients Are All Number 1
Never Too Busy for Referrals
Making You Number 1
Each of these tag lines give the impression that you value your clients. When you don’t pick up the phone, you give a clear message that you don’t value them. Virtual assistants must pick up their phones. If you fail to answer your calls, you might miss an important one.
Return Calls If You Can’t Pick Up
Admittedly, there are times when you can’t pick up the phone. In fact, I explained this to the man who I was speaking with. At the same time, I explained that the only reason that I don’t pick up is when I’m on the line with another client. With me, they deserve my undivided attention just as I was giving him my undivided attention. When I am finished with that call, I will return the call if they left a message. It’s that simple.
We work too hard to get a lead. We:

◊ Create social media accounts and manage them
When you don’t pick up the phone, why put so much effort into generating leads? Take this as helpful advice or take it as a rant. Either way, virtual assistants must pick up their phones. It might be that lead that you have been working so hard to get. 🙂
